i manage a small portfolio with the help of my brother (2 str and 1 ltr), and the manual documentation was taking most of our time. taking 50+ photos per turnover is becoming hard to track and honestly, this method failed us recently over the damage dispute. so we are trying to shift to 60sec video walkthrough that gets converted into a timestamped pdf report. This new method already helped us winning $450 fake 'cleaning complaint' last week because the proof was so objective.
Do most of you rely on manual checklists and photos, or has anyone shifted to video-to-PDF workflows? I'm trying to find a bulletproof way to document the property without burying myself in extra paperwork. how r you guys making this process less tiring?
How are you guys documenting turnovers without burying your cleaners/team in paperwork?

Video walkthroughs are clutch for this, saves so much time vs sorting through dozens of photos later. We do something similar but just keep the raw video files organized by property/date – never thought about converting to PDF but that actually sounds pretty smart for sharing with tenants
