Learned a hard lesson today. One of my rentals had an AC failure because I completely forgot to schedule the annual check-up/filter change.
With 5 units, keeping track of "what needs to be done when" is getting messy. I tried Google Calendar, but it gets cluttered with my personal stuff.
Is there a simple app specifically for tracking property maintenance schedules? Ideally something that nags me until I mark the task as done?
I'm not looking for a full property management suite, just something to keep my maintenance and repair logs organized so I don't lose money like this again. Recommendations?
How do you track maintenance schedules?

I just use a basic spreadsheet with conditional formatting that turns cells red when stuff’s overdue. Set it up once with all your properties and maintenance tasks, then just check it weekly. Way simpler than trying to find the perfect app that’ll probably have a subscription fee anyway.
For the nagging part, I have a recurring calendar event that just says “CHECK MAINTENANCE SHEET” every Sunday morning. Takes like 2 minutes to scan through and see what’s coming up. Been doing this for 3 years with 8 units and haven’t missed anything major since I started.
I would put them all on the same schedule. Then you only need one.
Also you could use a second Google account calendar.
Excel spreadsheet works fine for me. I track my vehicles’ maintenance on them. I track my rental portfolio bills on another spreadsheet and check routinely, usually once a month is sufficient for me.
There are no nagging reminders though. And I like that.
I actually built rntar.com for the exact scenario, it’s free so feel free to check out!
